Order Inquiry

Descriptions of the fields and buttons on the Order Inquiry screen of the Customer Service tab are provided in the following table.

Note: To access the Order Inquiry screen, you must have the proper security privileges. The Customer Lookup job function needs to be assigned to one of your roles. Roles are assigned to users in the User Maintenance on the Security Maintenance screen of the Vision Configuration tab. For more information, refer to About roles and job functions.

Field or button

Description

Order or Release

This is the order number or release number for which you are inquiring.

Search

Click this button to see order details for order number or release number you entered.

Ship To

This is the customer's ship to number.

ShipTo Name and Address

This is the customer's ship to name and address.

Order Date

This is the date when the order was placed.

Customer No

This is the customer number.

Contact Name and Phone

This is the contact's name and phone number.

Ship Date

This field is shown if the order has been shipped. It indicates the date of shipment.

Company

This is the company name.

Warehouse

This is the warehouse name.

Order Status

This is the order's current status.

Invoice No.

If this release has been invoiced, the eight-digit invoice number appears in this field.

Details

Customer PO

This is the customer's purchase order number.

Billing Code

This is the customer's billing code used for monthly billing reports.

Order Source

The order source that was selected on the Current Order screen of the Customer Service tab appears here. The order sources are created through Order Source Maintenance, and some examples of possible order sources are telephone orders, outside sales, and mail-in orders. The Invoice Register gives you a summary of totals by order source.

Special Instr

This field shows the customer's special instructions that are printed on the pick ticket.

Blanket PO

This is the customer's blanket purchase order number. Data retrieval from the release file is available to show the money spent under this blanket PO number.

Sales Rep

This is the sales rep for the customer.

Sales Rep 2

If a commission for this order is split between two salespeople, the second salesperson is listed here.

% Sales Rep 1

This is the percentage of the commission that the first sales rep receives for this order.

% Sales Rep 2

This is the percentage of the commission that the second sales rep receives for this order.

CSR

This is the Customer Service Representative (CSR). This information is used to track sales and credits by line.

Job Number

The job number that was entered on the Current Order screen of the Customer Service tab appears in this field. The job number will be the same as the first quote entered for a job.

All of the activities in the furniture system are tracked by job number. A job includes merchandise, service, installation, and any other charges that are connected with a customer's furniture project.

Map Location

This field contains the geographical location of the customer's ship to address.

Route/Zone

The ship route and zone associated with the map location selected on the Current Order screen of the Customer Service tab are shown here.

The ship route describes when a delivery takes place and also any key information about the order such as if it is a drop shop or crossdock product.

The ship zone helps to sequence the deliveries on each route.

Credits

Invoice/ Release

This is the invoice number or release number for order credits.

Holds

If there are any holds for this order (credit, price, or operator), the appropriate option is selected.

Verification

The appropriate verification option that was used for this order is selected.

Operator

This is the name of the operator who entered this order.

No. of Releases

This is the number of releases for this customer's order.

Promo ID

If the customer placed the order because of one of your company's promotions, the company's promotional ID is listed here.

No. Cartons

This is the number of cartons for this order.

Weight

This is the weight of the shipment.

Rush

If this option is selected, the order is a rush order.

Will Call

If this option is selected, the order is a will call order.

COD

If this option is selected, the order is a cash-on-delivery order.

Tax

Ship To County

This is the county of destination.

Tax Exempt Number

This is the customer's tax exempt number.

Taxed By

This is the taxed amount of the order.

Tax Jurisdiction

This is the customer's tax jurisdiction numeric code.

Tax Category

This is the customer's tax category.

Tax Base

This is the customer's tax base.

Tax Amount

This is the tax amount for the order.

Jurisdiction

This is the customer's jurisdiction description.

Rate%

This is the customer's tax rate.

Order Activity

If the order activity line is for a Delivered Order activity, the signature symbol (icon_signature.gif) is displayed in this column.

To view a signature obtained by a driver making a delivery (if the driver is using TSH PocketVision, the wireless proof-of-delivery system), click the corresponding Delivered Order activity line item. The signature of the person who signed for the delivered order, as well as other delivery information such as time and date, are displayed.

Line

This is the line number of the order activity.

Date

This is the date of the order activity.

Time

This is the time when the order activity took place.

Operator Name

This is the name of the operator who performed the order activity.

Activity

This is the order activity's description.

If this activity is a note that was entered for this specific order, "Note" is listed in this column.

Information

This is the other information pertaining to the order activity.

If this activity is a note that was entered for this specific order, the notes are displayed in this column. If the note is long, it may be continued on additional line items.

Notes

To add a note to this order, type the note text in this field and then click the Add button.

Add

To add a note to the order, type the note text in the Notes field and then click this button.

Order Message

Order Message

If a standard order message was added to one or more print documents, the brief description and ID of the order message are shown in this field.

Standard order messages are created and maintained on the Vision Configuration tab. For more information, refer to Field and button descriptions on the Order Message screen.

Order messages can be added to print documents such as invoices, order acknowledgments, and delivery tickets. For more information, refer to Add an order message to be printed on documents for this order.

If a standard order message was added to one or more print documents, the standard message is shown here.

Order Message Free Form Text

If a customized order message was added to one or more print documents, the message is shown here.

Document Prints

If an order message was added to one or more print documents, those print documents are selected in this list.

Wholesaler Activity

Crossdock

The crossdock warehouse from which this order is or will be processed.

Order Time

This is the time the order was placed.

Line

This is the line number.

Prod Line

This is the product line number for the order.

Product Number

This is the product's external number.

Description

This is the product description.

Exclusion/ Wholesaler

This is the vendor number or wholesaler code. This field switches based on the PWDS Flag setting. If this is a PWDS item, denoted by a Y flag, this field will show an exclusion code. If the flag is N, wholesaler information will be displayed instead. Also, if the PWDS flag is set to Y and there is something that makes the item a non- PWDS item, an explanation of the problem will be shown in this field.

Seq

The order that the system follows to check PWDS warehouses to see if they can supply the product. The list ends when a wholesaler is found that can supply the item or all wholesalers have been checked.

Totals

Merchandise

This is the total dollar amount of merchandise for this order.

Disposal Fee

If disposal fees are added to any of the line items on this order, the total disposal fee amount for all line items of the order is displayed in this field.

Restocking Fee

If restocking fees are added to any of the line items on this order, the total restocking fee amount for all line items of the order is displayed in this field. The restocking fee is a positive dollar amount.

If the customer's order is taxed (that is, if the tax rate percent is not 0.00), the restocking fee is taxed.

Freight

This is the total dollar amount of freight charges for this order.

Delivery

This is the total dollar amount of delivery charges for this order.

Misc Charge

This is the total dollar amount of miscellaneous charges for this order.

Tax

This is the dollar amount of tax for this order. The tax percentage and the customer's tax jurisdiction are also shown.

Min Ord Charge

The amount of surcharge assessed if the order does not meet a minimum order amount is indicated here.

Excise Tax

If excise taxes are added to any of the line items on this order, the total excise tax amount for all line items of the order is displayed in this field.

Order Total

This is the total dollar amount of this order.

Quote Deposit

Amt Required

This is the amount required from the customer for Quote deposit.

Amt Received

This is the amount received from the customer for Quote deposit.

Amt Applied

This is the amount from the customer applied for Quote deposit.

Payment Information

Check Number

If a check is used for payment of the order, the number of the check is shown in this field.

Check Amt Received

If a check is used for payment of the order, the dollar amount of the check is shown in this field.

Cash Amt Received

If cash is used for payment of the order, the dollar amount of the cash is shown in this field.

Credit Card Type

If a credit card is used for payment of the order, the credit card type is listed in this field.

Charge Amount

If a credit card is used for payment of the order, the dollar amount of the credit card charge is shown in this field.

Order Inquiry listing

Line

This is the product's line number.

Action

 

Product Number

This is the product's external number.

Description

This is the product's description.

UOM

This is the product's unit of measure.

Order Qty

This is the number of ordered product(s).

Ship Qty

This is the number of shipped product(s).

B/O Qty

This is the number of backordered product(s).

In Pick

This is the number of in-pick product(s).

Canceled

This is the number of canceled product(s).

Price Source

This is the product's price source.

Price Level

This is the price level (if applicable) associated with the price the customer will pay for this product.

Unit Price

This is the product's unit price in dollars.

Core Price

If the part or product contains a core value, the core price from the part record is shown in this column.

Ext Price

This is the product's extended price in dollars.

Unit Cost

This is the product's unit cost in dollars.

Core Cost

If the part or product contains a core value, the core cost from the part record is shown in this column.

Ext Cost

This is the product's extended price in dollars.

GP Pct

This is the gross profit percentage for this line item.

Customer Part No

This is the customer part number.

PO Info

This is the line number from the purchase order, as well as the purchase order number.

Source Transfer Order Number(s)

If any transfer orders were created for this line item, the transfer order numbers are listed in this column.

Whse Loc

This is the warehouse location for this line item.

DS

If a product is direct ship, it will so be indicated in this column.

Vendor

The vendor number for this line item appears in this column.

Warranty Tag

This is the ID number on the warranty tag, if applicable, for this line item.

Excise Tax

If an excise tax is charged for this product or part, it is displayed in this column.

Disposal Fee

If a disposal fee is charged for this product or part, it is displayed in this column.

Restocking Pct

If a restocking fee is to be charged for this product or part, it is displayed in this column.

Tax

This is the tax charged for this order.

Serial Numbers

If a line item has a serial number, it is displayed in this column.

Message

If a line item has an associated message, it is displayed in this column.

Return Type

For credit memo order types, this column indicates whether the product(s) should be returned to inventory.

Return Reason

This identifies why the customer returned the product(s).
