Sample sourcing scenarios

Many different sourcing examples for new orders being entered and existing orders being maintained are presented below. In all cases, the active warehouse is set up to prohibit backorders. To learn how to set up a warehouse to prohibit backorders, Specify whether a warehouse should prohibit backorders.

Scenario 1

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are entering a new standard order (or changing a quote to a standard order) on the Customer Service tab. The customer orders 10 widgets; 3 are available in the active warehouse, and 7 are on backorder.

Sourcing steps taken during order entry: Using the Source Line dialog box, you source the 7 widgets from one or more warehouses and/or from an outside vendor.

Outcome: One or more transfer orders and/or sourcing purchase orders are created for 7 widgets. Since the entire amount was sourced from transfer(s) and/or a sourcing PO, the system does not perform the standard purchasing cycle for the line item.

Scenario 2

Background: You do have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are entering a new standard order (or changing a quote to a standard order) on the Customer Service tab. The customer orders 10 widgets; 3 are available in the active warehouse, and 7 are on backorder.

Sourcing steps taken during order entry: Using the Source Line dialog box, you source 5 widgets from one or more warehouses; 2 widgets remain on backorder.

Outcome: One or more transfer orders for 5 widgets are created. If the 2 widgets are still backordered and unsourced at End-of-Day, the system goes through the standard purchasing cycle. For more information, refer to Overview of inventory replenishment.

Scenario 3

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 7 widgets were on backorder. The customer service rep who entered the original order attempted to source 7 widgets from other warehouses. A transfer order for 4 widgets is still active (the warehouse that received the transfer order had not yet verified or canceled the transfer order); another transfer order for 3 widgets was canceled.

There are different ways you can proceed in this scenario:

Outcome

Accept the order without accessing the line item that has sourcing associated with it.

Since one transfer order is still active, the system does not perform the standard purchasing cycle for the canceled quantity. (Therefore, if the active transfer order is canceled, the system can create one pending purchase order for the entire backorder quantity instead of two separate pending purchase orders.)

If you access the line item that has sourcing associated with it, you are required to do one of the following by using the Source Line dialog box (because you do not have the override backorders security privileges):

  • Source the 3 backorder widgets from one or more warehouses and/or from an outside vendor.

  •  Kill the 3 backorder widgets from the line item.

  • Source some of the backorder widgets and kill the remaining quantity.

Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

One of the following occurs:

  • If you sourced part or all of the remaining backorder quantity from another warehouse, one or more transfer orders are created.

  • If you sourced part or all of the remaining backorder quantity from an outside vendor, a sourcing purchase order is created.

  • If you killed part or all of the remaining backorder quantity, that quantity is removed from the line item.

Scenario 4

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 2 widgets were on backorder. The customer service rep who entered the original order attempted to source 2 widgets from an outside vendor. (In other words, a sourcing purchase order was created for 2 widgets.) The sourcing purchase order was partially received: only 1 widget was received. The remaining quantity was left open; it was not canceled.

Sourcing steps taken during order maintenance: None. You accept the order without accessing the line item that has sourcing associated with it.

Outcome: Since the sourcing purchase order is still active, the system does not perform the standard purchasing cycle for the open quantity.

Scenario 5

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 2 widgets were on backorder. The customer service rep who entered the original order attempted to source 2 widgets from an outside vendor. (In other words, a sourcing purchase order was created for 2 widgets.) The sourcing purchase order was partially received: only 1 widget was received, and the remaining quantity (1 widget) was canceled.

Sourcing options during order maintenance

Outcome

Accept the order without accessing the line item that has sourcing associated with it.

The system has not performed the standard purchasing cycle for the open quantity, so the line item must be maintained.

If it is not resolved by End-of-Day (EOD) processing, the system will go through the standard purchasing cycle for the backorder quantity. For more information, refer to Overview of inventory replenishment.

If you access the line item that has sourcing associated with it, you are required to do one of the following by using the Source Line dialog box (because you do not have the override backorders security privileges):

  • Source the 1 remaining widget from another warehouse or from an outside vendor.

  •  Kill the 1 remaining widget from the line item.

Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

One of the following occurs:

  • If you sourced the remaining backorder quantity from another warehouse, a transfer order is created.

  • If you sourced the remaining backorder quantity from an outside vendor, a sourcing purchase order is created.

  • If you killed the remaining backorder quantity, that quantity is removed from the line item.

Scenario 6

Background: In this scenario, the background is the same as that in scenario 5, with one exception; you do have the security privileges that allow you to override the warehouse setting that prohibits backorders. The duplicate background information:

You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 2 widgets were on backorder. The customer service rep who entered the original order attempted to source 2 widgets from an outside vendor. (In other words, a sourcing purchase order was created for 2 widgets.) The sourcing purchase order was partially received: only 1 widget was received, and the remaining quantity (1 widget) was canceled.

Sourcing options during order maintenance

Outcome

Accept the order without accessing the line item that has sourcing associated with it.

The system has not performed the standard purchasing cycle for the open quantity, so the line item must be maintained.

If it is not resolved by End-of-Day (EOD) processing, the system will go through the standard purchasing cycle for the backorder quantity. For more information, refer to Overview of inventory replenishment.

If you access the line item that has sourcing associated with it, you can do any one of the following by using the Source Line dialog box:

  • Source the 1 remaining widget from another warehouse or from an outside vendor.

  •  Kill the 1 remaining widget from the line item.

  • Exit the Source Line dialog box without sourcing or killing the remaining backorder quantity.

One of the following occurs:

  • If you sourced the 1 widget from another warehouse, a transfer order is created. Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

  • If you sourced the 1 widget from an outside vendor, a sourcing purchase order is created. Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

  • If you killed the 1 widget, that quantity is removed from the line item. Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

  • If you exited the Source Line dialog box without sourcing or killing the remaining backorder quantity,
    and if the 1 widget is still backordered and unsourced at End-of-Day, the system goes through the standard purchasing cycle. For more information, refer to Overview of inventory replenishment.

Scenario 7

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 4 widgets were on backorder. The customer service rep who entered the original order attempted to source 3 widgets from another warehouse, and 1 widget from a different warehouse. (In other words, 1 transfer order for 3 widgets was created, and 1 transfer order for 1 widget was created.) The transfer order for 3 widgets is still active, and the transfer order for 1 widget was canceled. When the 1-widget transfer order was canceled, that warehouse called you to inform you about the cancel so that you could re-source it.

Sourcing steps taken during order maintenance: You access the line item that has sourcing associated with it. Using the Source Line dialog box, you source the canceled quantity from another warehouse.

Outcome: A transfer order for 1 widget is created. The transfer order for 3 widgets is still active. Since there is no unsourced quantity, the system does not go through the standard purchasing cycle.

Scenario 8

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 4 widgets were on backorder. The customer service rep who entered the original order attempted to source 4 widgets from an outside vendor. (In other words, a sourcing purchase order was created for 4 widgets.) The outside vendor purchase order was partially received: only 3 widgets were received, and the remaining quantity (1 widget) was canceled.

Sourcing steps taken during order maintenance: You access the line item that has sourcing associated with it. Using the Source Line dialog box, you source the remaining 1 widget from another warehouse.

Outcome: A transfer order for 1 widget is created. Since there is no unsourced quantity, the system does not perform the standard purchasing cycle.

Scenario 9

Background: You do not have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 4 widgets were on backorder. The customer service rep who entered the original order decided not to source any of the backorder quantity.

Sourcing options during order maintenance

Outcome

Accept the order without accessing the line item that has sourcing associated with it.

The backorder quantity remains unsourced. If it is not resolved by End-of-Day (EOD) processing, the system will go through the standard purchasing cycle for the backorder quantity. For more information, refer to Overview of inventory replenishment.

If you access the line item that has sourcing associated with it, you are required to do one of the following by using the Source Line dialog box (because you do not have the override backorders security privileges):

  • Source the 4 backorder widgets from one or more warehouses and/or from an outside vendor.

  • Kill the 4 backorder widgets from the line item.

  • Source some of the backorder widgets and kill the remaining quantity.

Since there is no unsourced quantity, the system does not perform the standard purchasing cycle for the line item.

One of the following occurs:

  • If you sourced part or all of the remaining backorder quantity from another warehouse, one or more transfer orders are created.

  • If you sourced part or all of the remaining backorder quantity from an outside vendor, a sourcing purchase order is created.

  • If you killed part or all of the remaining backorder quantity, that quantity is removed from the line item.

Scenario 10

Background: You do have the security privileges that allow you to override the warehouse setting that prohibits backorders. You are maintaining an existing standard order on the Customer Service tab. The order has a line item for 10 widgets. During the original entry of this line item, 4 widgets were on backorder. The customer service rep who entered the original order decided not to source any of the backordered quantity.

Sourcing steps taken during order maintenance: None. You do not access the line item that has sourcing associated with it.

Outcome: If the 4 widgets are still backordered and unsourced at End-of-Day, the system goes through the standard purchasing cycle. For more information, refer to Overview of inventory replenishment.
