System Configuration: Employees

Descriptions of the fields and buttons for the Employees maintenance are provided in the following table. The Employees folder is a subfolder of the Miscellaneous Information folder on the System Configuration screen of the Vision Configuration tab.

To create a new employee record, right-click the Employees folder and select Add New Employee.

Note: To access the Employees maintenance, you must have the proper security privileges. The File Maintenance Employee job function needs to be assigned to one of your roles. Roles are assigned to users in the User Maintenance on the Security Maintenance screen of the Vision Configuration tab. For more information, refer to About roles and job functions.

Field or button

Description

Employee ID

The code in this field identifies the employee. The code is up to six digits long. If fewer than six digits are entered, the code is zero filled.

Employees use their employee ID to clock in and out for time reporting in Vision Back Office.

The employee ID is also used in the End-of-Day CSR Update process to collect sale and credit information for each line entered by an employee whose Employee Type is set to Customer Service Representative. This information is cumulative based on ALL invoices on the system. The results can then be viewed or printed, in descending date order, using CSR Inquiry/Reports to manually calculate incentives that reward customer service reps.

Name

This is the name of the employee; it is displayed in the time reporting system in Vision Back Office when the employee ID is entered.

This name prints on invoices at the end of the customer service rep (CSR) invoice message, along with the CSR's phone number.

Address Line 1, Address Line 2, City, State, Zip Code

This is the employee's address. You can enter the employee's home address or work address in these fields, depending on what information your company would like to collect here.

Work Phone Number

This is the employee's work phone number. It is printed on order documents such as invoices at the end of the customer service rep (CSR) invoice message, along with the CSR's name.

This is not a required field. However, if you do type a phone number in this field, the area code is required.

Home Phone Number

This is the employee's home phone number.

This is not a required field. However, if you do type a phone number in this field, the area code is required.

Social Security Number

This is the employee's social security number.

Birth Date

This is the employee's date of birth.

Company

Select the appropriate company from the drop-down list. This is a required field.

Employee Type

Select the type of employee that is most appropriate from this list.

Hire Date

This is the date that the employee was hired.

Terminated

This is the last day that the employee worked at the company.

Pay Type

Hourly

If the employee is paid by the hour, select this option.

Salary

If the employee is paid a salary, select this option.

Frequency

Select the frequency that this employee is paid. Valid options are:

  • Biweekly

  • Monthly

  • Semimonthly

  • Weekly

User ID

This is the employee's user name that he or she types when logging on to Vision. This ID must be a valid user ID that has already been set up in Security Maintenance. (For more information, refer to Field and button descriptions on the Security Maintenance screen.)

Accept

Click this button to save any changes that you have made.

Cancel

Click this button if you do not wish to save the changes that you made, and you wish to revert to your previous information.
